Making a Booking with Alpine Chaingang

Placing An Option
When you have decided on which of our Riding Programmes you would like to take part in then contact Dave to confirm availability. We will then hold a booking option at no cost to you for a short agreed period to allow you time to confirm details with other party members. Once you have confirmed you wish to proceed with the booking you will then be asked to complete paperwork and pay the deposit within a specific timescale. If you either do not confirm the booking option nor complete the paperwork and pay the deposit within the agreed timescales then the booking option will lapse and the accommodation and riding programme place will automatically be re-entered into our booking system as being available. If a booking option lapses and remains available then you are, of course, welcome to renew the option.
Holding Your Booking
Complete the online booking form and submit it and arrange payment of the non refundable deposit before the expiry of your option. Payment can be made either by:
- arranging a bank transfer (our preferred option)
- calling us to pay by debit or credit card (we do not accept American Express)
- posting a cheque made payable to skivo2
We require a deposit of £300 per person per week. All deposits are non refundable.
Any alterations made subsequent to us receiving your booking form will, regrettably, incur an administration charge which will be advised at that time.
Confirming Your Booking
A confirmation acknowledgement of your booking will be emailed to you once your deposit payment has been processed by our Finance Section and it is at this stage that your booking becomes confirmed.
Please ensure that you check your confirmation acknowledgement email carefully and notify us within two weeks of any changes which need to be made.
Final Payment
A final balance invoice will be sent by email. This final balance invoice must be paid no later than 10 weeks before your departure date. If payment is not received within this period the booking may be treated by us as cancelled by the client and we retain the right to retain deposits which have been paid.
Final Confirmation
Shortly prior to your departure date you will be issued with a final holiday confirmation email along with directions to the chalet (if self drive).
Please note that sports insurance is not included in the cost of your holiday and you should ensure that you have full sports holiday insurance in place before travelling.
Payment Type
Our preferred method of payment is by bank transfer. If it is more convenient for you to pay by debit/credit card we are happy to take payment this way . We are not able to accept American Express.
Cancellation by the Client
Notice of this is required in writing or will be taken as cancelled by the client if a no show in resort on the date of arrival. If the deposit only has been paid then this will be retained in full by Alpine Chaingang. If the full balance payment has been paid, then the cancellation charge is 100% of all monies paid (including the deposit). If the cancelled place is refilled by Alpine Chaingang at a later date the cancellation charges will still apply. Any monies paid to Alpine Chaingang should be claimed via your holiday insurance. Please note that all notifications of cancellation should be made by email to amy.beattie@alpinechaingang.co.uk
Cancellation of Holiday or Change of Accommodation by Alpine Chaingang
In the unlikely event we have to cancel your holiday (for whatever reason), all monies paid to date to Alpine Chaingang will be refunded.
In the event that your specified accommodation becomes unavailable or we need to move you to another accommodation for business reasons (at the relevant adjusted price), Alpine Chaingang retains the right to offer alternative accommodation or change of holiday date. If you elect not to accept this alternative accommodation or holiday date then all monies paid to date (including your deposit payment) to Alpine Chaingang will be refunded. No other payment would be applicable to you from Alpine Chaingang in either of these instances and should be claimed via your holiday insurance.
Minimum Number Requirement on our Trips
Please note that all of our cycling trips require a minimum of 3 participants for the trip to run. If this number is not achieved then Alpine Chaingang retain the right to cancel the trip and all monies paid to Alpine Chaingang would be refunded. No other payment would be applicable to you from Alpine Chaingang in this instance and should be claimed via your holiday insurance.
Holiday Insurance
You must procure insurance as soon as possible after making your booking. Please note that not all Sports insurance will include every eventuality and care should be taken to select an appropriate and comprehensive policy.
We advise that EU Nationals ensure your passport is valid for the entirety of your holiday and for at least six months after the journey home. This information should be double checked with the relevant embassy (details below). Children (including infants) require their own passport.
Non EU Nationals should contact your local French Consulate or the French embassy website (www.ambafrance-uk.org) or if flying into Switzerland should contact your local Swiss Consulate or the Swiss embassy (www.swissembassy.org.uk).
We trade under the name Alpine Chaingang. Our parent company is skivo2 Ltd which is registered in Scotland under registered number SC356990 with our registered address at 11 Village, Sandend, Aberdeenshire, AB45 2UB. All payments should be made directly to skivo2 Ltd.
